Drawing objects, zones, routes, and labels is a separate lesson: Event objects, areas, and routes. An event plan is a site layout. It is not the official road-sign catalogue. When you need this Use an Event Plan for the venue itself: tents, fencing, visitor flows, emergency exits, camping, parking. Use a Traffic Plan when you need the traffic-sign catalogue, detours, materials lists, or post orders. Many events need both: event plan for the field, traffic plan for the approach roads. You do not need this page if you only place road signs. Start with Your first plans instead. Access and cost Event plans are not billed in credits. Your workspace still has to allow them. On Plans, the tabs are Traffic plans and Event plans. If Event plans are off for this workspace, Event plans is greyed out. The line under the tabs is the access message. In your personal workspace it reads Not enabled for Personal. In an organization it uses that workspace name, for example Not enabled for Acme Events. That is a workspace gate, not a billing limit. Workspace unavailable. You cannot create an event plan here until an administrator enables it. Email customer@traffic-chart.com if the wrong workspace is blocked. If you never see the Event plans tab at all, this account does not include event plans. A new plan is created in the workspace you are in now. Check Switch workspace first. Personal is your own library. An organization workspace is the shared one. Create an event plan From Home: Create event plan form — Event Name, Location, dates, Start event planning 1. Under What would you like to create?, choose Event Plan (Organize venues and event layouts.). 2. The form title is Create Event Plan. 3. Enter Event Name (placeholder Enter the name of your event). 4. Enter Location (placeholder City, venue or address). 5. Set Start date and End date (date and time). The end must be after the start. If it is not, the app says End date must be after the start date. 6. Click Start event planning. From the library: 1. Open Plans. 2. Open Event plans. 3. Click New Event Plan. 4. Fill the same form. The editor opens full-screen. Wait until the map is ready. Do not place objects during the loading screen. Event plan editor with a painted map, Objects, and Request item (24h) Find a plan later Plans → Event plans is the library. Personal title: My event plans. Subtitle: Create and manage your event layout plans. Organization title is the organization name plus event plans, for example Acme Events event plans. Organization subtitle: Event plans shared with everyone who has access to this workspace. Search with Search. Placeholder: Search event plans or folders. Empty search: No event plans or folders match your search. Empty folder: No event plans or folders here yet. First-time empty copy: No event plans yet. Create your first one! Table columns: Name, Updated, Event Date, Actions. Open a row with Open. The plan menu (Actions for that plan) also has Copy link, Move to folder, Duplicate, and Delete. Deleting asks Are you sure you want to delete this event plan? That is permanent. Use New folder to group work. Personal libraries use Folders. Organization libraries use Shared folders. Folder actions include Rename, Move folder, and delete (the folder must be empty). Go up one level returns to the parent. Full library: Folders and the library. A plan that is under municipal review cannot move from Personal into an organization. The move dialog title is Under review — move unavailable. Copy is still allowed. See Review for organisers. The event editor Event plan editor overview — map, Objects, Areas, Lines & Routes Header: event name, Start date, End date, Location, then Auto-save or Save, then Export. Save reads Saving... while it works. Success toast: Event plan saved. Failure: Failed to save event plan. If Auto-save is on, wait until it shows Auto-save: saved before you close the tab. Other Auto-save states: Auto-save is disabled, Auto-save: saving, Auto-save: unsaved changes. Export is a header button. It is not a sidebar module. Full PDF path: Export an event plan. Four modules — and what is not a module The right-hand strip has four modules: 1. Objects 2. Areas 3. Lines & Routes 4. Comments There is no Texts tab. Labels go on the map with Add text (the Aa control on the left). Layers can still list Texts after you place them. That list is not a drawing module. Comments is municipal Review status. It is not a sticky-note pad. You do not start the first review yourself. Until the municipality starts a session, Comments may show Ready to submit? and tell you to use the municipality procedure, with Copy shareable link and Export plan. Comments and review status. Each drawing module also has a Details tab. Select something on the map, then open Details. How to place objects, zones, routes, and text: Event objects, areas, and routes. At the bottom of Objects only: Request item (24h). Use it when the catalogue is missing a type. Request a missing item. The strip also has Help, Report bug, and Collapse. Select map on the left is the event basemap and overlays (NDW Signs, Fire hydrants (BGT), TopoRD (Netherlands only)). Layers lists Event Objects, Event Areas, Lines & Routes, and Texts. Empty: No items in this layer. Lock entire layer / Unlock entire layer stops accidental edits. Event map layers. Locks If the plan is under review, drawing modules are disabled. The tooltip is This event plan is locked and cannot be edited. Header save can read Plan is locked while under review. If the plan is approved, the header can say This plan is locked because it has been approved. In-app Approved is not a legal permit by itself. What good looks like - You created the plan in the intended workspace (Personal or Acme Events). - Event Name, Location, and dates match the real event. - You waited for the map before placing anything. - Site kit is on Objects. Zones are on Areas. Paths are on Lines & Routes. Labels are Add text. - At least one event object sits on the real site if a municipality will review in the app. - Save or Auto-save: saved has finished. Event objects, areas, and routes
This page is the drawing lesson for an event plan: catalogue objects, zones, routes, and map labels. Create the plan first. Then stay here while you fill the site. Event Objects catalogue with Search objects and Request item (24h) on a painted site map When you need this Use it when the editor is already open and you need to place something on the map. Skip it if you only need to create the plan, export a PDF, or wait on municipal review. Those are Event plans handbook, Export an event plan, and Review for organisers. Wait until the map is ready. If you click too soon, Objects can toast Map is not ready yet. There is no Texts module in the right-hand strip. Labels go on the map with Add text. Comments is municipal review, not a drawing tab. Where drawing lives The right-hand strip has four modules: Objects, Areas, Lines & Routes, and Comments. Each drawing module has two tabs at the top of the panel: the catalogue tab, then Details. Select something on the map, then open Details. If nothing is selected, Details says Select an object, area, line or text to view its details. Export is a header button, not a module. Save and Auto-save sit in the header. Wait until Auto-save: saved (or a finished Save) before you close the tab. Add text is the Aa control on the left of the map. It is a map tool. It is not a sidebar tab. Layers on the left of the map lists what you already placed: Event Objects, Event Areas, Lines & Routes, and Texts. From a row you can Zoom to, Lock item / Unlock item, and Show labels / Hide labels for that layer. Lock entire layer / Unlock entire layer locks every item in that group. An empty group says No items in this layer. If the plan is locked, Objects, Areas, and Lines & Routes stay disabled. The tooltip is This event plan is locked and cannot be edited. You can still open Comments. Objects Open Objects. This is the furniture and kit catalogue: tents, toilets, generators, fencing, and the rest of the site kit. Search and categories The search field is Search objects.... It matches object names and codes. If nothing matches, you see No objects found. Collapse all / Expand all folds or opens every visible category. If the catalogue has a default size, the tile also shows it as metres by metres, for example 2m x 3m. Place an object 1. Click a type. The tile highlights and the cursor becomes a crosshair. Click the same type again to cancel. 2. Click the map once. The object drops at that point. 3. Select it. The on-map toolbar is Move, Rotate, Duplicate, Edit, Deselect, and Delete. Corner handles are Resize from top left, Resize from top right, Resize from bottom right, and Resize from bottom left. 4. Edit opens Details. If the object layer is not ready, the app toasts Map is not ready yet. Wait, then try again. Need a type that is not in the list? Use Request item (24h) at the bottom of Objects. That opens a request form. Describe the item. Keep drawing with the closest type if the event cannot wait. Placed event objects are what in-app review uses to attach the plan to a municipality. Areas, lines, and text do not count. If Comments later says Place event objects to start a review, put at least one object on the real site. See Review for organisers. Object Details | Control | What it does | |---------|----------------| | Type | Catalogue name. Disabled when the type is not scalable. | | Rotation | Degrees, 0–360. | | Delete Object | Removes it from the map. | Image fit: Contain or Stretch Image fit only matters for types that have a picture. - Contain keeps the picture’s aspect ratio inside the object rectangle. Extra space uses Contain background. - Stretch fills the rectangle and can distort the picture. Turn Contain on first if you want a background colour. If you click the colour swatch while the object is in Stretch, a toast says Background colors work with aspect ratio mode. Turn on aspect ratio mode to choose a color. The image-fit button pulses so you can find it. With Contain on, the colour menu includes Choose contain background color. For pictured types it also includes Use transparent background. Transparent fill forces Stretch. The toast is Transparent background uses stretch mode, so image aspect ratio was turned off. Areas Open Areas. Draw the site zones: camping, crowd, parking, tents, restricted ground, and generic patches. Shape Pick a Shape before you pick a type: | Shape | How you draw | |-------|----------------| | Polygon | Click each corner. Click the same Area Type again if you started the wrong one. Area Types Click a type to start drawing. Lines and routes Open Lines & Routes. Draw visitor paths, vehicle paths, emergency paths, and the site boundary. Line Types Click a type, then click along the map. Older plans can still have a Barrier line. If you select one, Details still shows Line Type Barrier. Draw new fence as Fencing objects, or as a Boundary line, not as a hidden barrier type. Keep Emergency Route and Emergency Exit visually distinct from visitor Pedestrian Route and Access Route. Placed lines The Lines & Routes panel is the picker. After you draw, the line stays on the map. That is your placed line. To find it again: 1. Open Layers. 2. Expand Lines & Routes. 3. Click the row. The app selects the line and opens Details. Or click the line on the map, then open Details. Line Details | Control | What it does | |---------|----------------| | Line Type | The type you picked. Fwd and Back draw arrows along the path. None is a plain stroke. | | Delete Line | Removes the path. | Add text Add text lives on the left of the map, with the zoom and layer tools. The control is the Aa button. Title: Add text. It is not a sidebar module. Do not look for Texts next to Objects. 1. Click Add text. The cursor becomes a crosshair. 2. A toast says Click once on the map to place text. The text options stay available in the sidebar while you type. 3. Click once where the label should sit, then type. 4. Select the text. The on-map toolbar is Edit, Deselect, and Delete. Corner handles resize it (Resize from top left, and the other corners). Layers lists these labels under Texts. A row with no words falls back to Text. Meta can show Size: and the point size. Put crew notes on objects with Label, and put wayfinding on Add text. What good looks like - Every important piece of kit is an Objects type on the real pitch, not only a coloured zone. - Camping, Crowd Area, Parking, Tent / Pavilion, and Restricted Zone do not share one muddy colour. - Emergency Route / Emergency Exit stay readable next to visitor routes. - Show label on map is on for anything crew must read without opening Details. - Contain is on for pictured objects that must keep their shape; Stretch is on only when you want the picture to fill the box. - At least one event object sits on the site if a municipality will review in the app. - Save or Auto-save: saved has finished. Event map layers and hydrants
The left side of an event editor is map context: basemap, Dutch overlays, your placed kit, and a ruler. Your Objects, Areas, Lines & Routes, and Add text remain the plan of record. Layers do not add event kit to the catalogue. Use this when you need aerials, existing street signs, hydrants on a Dutch field, or a lock on a layer you already drew. Skip it to create the plan or to export a PDF. Create first: Event plans handbook. Drawing lesson: Event objects, areas, and routes. Do not walk the full Dutch Configure BGT objects list here. That catalogue is the traffic-plan article Map layers and Melvin. An event map keeps the hydrant shortcut. Event plan editor with a painted map, Objects catalogue, and Request item (24h) When you need this Use it on a Dutch festival field when fire cover or existing street signs matter, or when Layers is the fastest way to jump to a toilet block you already placed. Skip it if the map is still white. Wait out Opening Map Environment.... If it never finishes: Map will not load or stays blank. There is no Show Melvin on an event plan. Roadworks overlays belong on a Traffic Plan. Left tools (edit mode) Wait until the map is ready. Clicking too soon can toast Map is not ready yet. From the top of the left stack: - Select map (world-map icon). If a style has no title, the fallback is Map. - Layers — your placed event content. - Zoom in / Zoom out. - Measurement tool — same ruler as traffic plans. - Search address. - Add text — the Aa control. Not a sidebar tab. - Review tools — only for the assigned Traffic expert on an open session. Not a drawing tool. If the plan is locked, drawing stays off: This event plan is locked and cannot be edited. You can still pan, zoom, and read Comments. Select map 1. Click Select map. 2. Pick a basemap. Common styles: Cartographic, Hybrid, Light Gray. Untitled styles show Map. 3. Wait until the tiles finish. Switching can take a moment. Basemap choice is on-screen context and usually the look of the PDF. Prefer a clear style before Export an event plan. Belgian event maps can also list GRB (Flanders) as a Flanders reference basemap. Dutch-only checkboxes stay hidden when the map is not a Netherlands plan. Dutch overlays (Netherlands only) These checkboxes sit under the styles. They appear when the event map is in the Netherlands. NDW Signs Existing street signs from the national database. Not your event kit. Not a tile from Objects. Tick NDW Signs to see what is already on the poles around the site. Zoom in if the layer looks empty. Turn it off before export if the extra symbols crowd the PDF. NDW signs do not become Objects. They do not count as review objects. They do not go on an event materials list (event export has no traffic materials list). Fire hydrants (BGT) The event hydrant shortcut. Tick Fire hydrants (BGT) when you need hydrant positions for access, parking, or a steward brief. Zoomed out, the hint is Zoom in further to display fire hydrants. Zoom until the hint goes away. Empty at a far scale is expected. This is not a fire-safety certificate. This is not the full BGT type list. Cabinets, manholes, cameras, and the rest live on traffic plans under BGT objects / Configure BGT objects. Do not walk that configurator here. If you need those types, open a Traffic Plan for the same Utrecht streets: Map layers and Melvin. TopoRD (Netherlands only) A topographic overlay. Tick TopoRD (Netherlands only) when you want extra Dutch terrain context. If the map centre is not in the Netherlands, the hint is Only available when the map center is in the Netherlands. Pan to the real site. The overlay will not invent Dutch topography over a foreign venue. Layers (your content) Click Layers. The panel title is Layers. Sections: - Event Objects - Event Areas - Lines & Routes - Texts A row with no name falls back to Object, Area, Line, or Text. Empty section: No items in this layer. Unlock it before you nudge a generator 2 m. Layers lists what you already placed. It does not place new kit. Place from Objects, Areas, Lines & Routes, or Add text. Event map with content Drawing and measuring (still on this map) Measurement tool is the same control as on a traffic plan. Open it for Measure line or Measure area. Clear measurement wipes the ruler. Total is the running length or area. Measurements are a check. They are not an export page. Drawing on an event map: - Areas: Draw area (polygon), Draw area (rectangle), Draw area (circle) — in the live editor you start from Areas and pick Shape Polygon, Rectangle, or Circle, then an Area Type. - Lines: Draw line — pick a type in Lines & Routes (Boundary, Pedestrian Route, Vehicle Route, Emergency Route, Access Route, Emergency Exit). - Labels: Add text on the left. - Direction on a line: Direction: backwards, No direction, Direction: forwards. On Details the buttons read Back, None, Fwd. Full field, colour, and size lesson: Event objects, areas, and routes. Placed Event Objects are what in-app review uses to attach a municipality. Areas, lines, and text do not count. If Comments says Place event objects to start a review, put at least one object on the real site. Export still needs an export area Select map and Layers do not create a PDF. Export is a header button. You still draw an export area, then choose paper size. Empty export sidebar: Draw an export area, then choose the paper size for the PDF page. Steps: Export an event plan. Hydrants and NDW Signs will print if they are on when you capture the page. Turn off overlays you do not want on paper. What good looks like You waited for the map. Select map is a readable basemap. On a Dutch Utrecht field, Fire hydrants (BGT) is on only after you zoomed in far enough. NDW Signs is off if it crowded the drawing. Layers lists every generator and route, with Lock item on kit that must not drift. Add text is wayfinding, not a review comment. You drew an export area before you needed a PDF. Export an event plan
still — export area over event content still — event export progress Download an event plan as a PDF. Event export is its own flow. It does not create traffic-plan export maps, materials lists, or post orders. When you need this Use Export when someone needs a file: a municipality inbox, a printer, or an attachment. You do not need a PDF if a browser view is enough. From Plans → Event plans, use Copy link for a read-only URL. Road-sign PDFs, XL maps, and materials lists come from a Traffic Plan. See Export and print traffic plans. You must be logged in. Export is a header button. It is not a sidebar tab. Open Event export sidebar 1. Open the event plan. 2. Wait until the map is ready. 3. Click Export in the header. The panel that opens is Event export sidebar. The heading inside is Export. Event export sidebar 4. Close it later with Close export sidebar (the X). That returns you to the editor. While this sidebar is open, the editor header hides and Export on the header stays disabled. Work in the sidebar. Every control in the sidebar Until you draw a rectangle, the panel says Draw an export area, then choose the paper size for the PDF page. Export PDF stays disabled until at least one area has a paper size. | Control | What it does | |---------|----------------| | Export | Sidebar heading. Disabled until an area has a paper size, and while a run is in progress. | Export a PDF 1. Click Add area, or draw the first rectangle on the map. 2. Select the area in the list (Export 1, Export 2, and so on). 3. Choose a paper size. Use Change orientation if the page should be the other way. Use Remove export area if that page is wrong. 4. Frame the rectangle around the objects and routes that must appear on paper. Zoom so labels stay readable at that page size. 5. Click Export PDF. 6. Stay on the page. Export status walks through the stages below. 7. Wait for the download. A success toast says PDF exported successfully. Export status ends on PDF downloaded. If something fails, the toast is Export failed. See Export fails or is blank. Export PDF can save the plan first when you are allowed to edit. Do not close the tab mid-run. Export status stages The status line uses these English labels, in the order the app usually shows them: | Stage | When you see it | |-------|-----------------| | Preparing export | Export PDF has started. | | Creating PDF page | The PDF document is opening (also the fallback if a stage has no other label). | | Preparing PDF page | Capture of that page has started. | | Creating export map | A hidden export map is created. | | Copying selected basemap | The basemap you were viewing is copied. | | Copying map layers | Other map layers are copied. | | Opening export map | The export view is opening. | | Positioning export map | The view jumps to the rectangle. | | Loading selected map | Tiles and the basemap settle. | | Drawing event plan | Event objects, areas, lines, and text are drawn. | | Loading event plan layers | Those layers finish loading. | | Finalizing map render | The view waits until drawing is idle. | | Capturing map image | A screenshot of the rectangle is taken. | | Map image captured | The screenshot is ready. | | Drawing PDF header | The page header is written. | | Adding map to PDF | The screenshot is placed on the page. | | Drawing PDF footer | Footer lines are written. | | Saving PDF | The file is written. | | PDF downloaded | The browser has the file. | You will not always notice every line. They can pass quickly on a small plan. On a slow network they linger. Keep the window open until PDF downloaded and the success toast. Several pages Each export area is one PDF page. Click Add area for another page: a detail of the entrance, then a wider site overview. The list only shows Export 1, Export 2, plus paper size and orientation. Name them in your head by what you framed. Remove a page you no longer need with Remove export area. What the PDF contains Example event plan PDF page The file title is Event Plan Export. Each page is a snapshot of the map inside that rectangle, at the paper size you chose. The footer includes: - Author: the plan owner’s name - Format: the paper size, for example A4 - Made with: the Traffic Chart site - VIEW ONLINE — opens the live plan in a browser It does not add a materials list or post orders. Those exist only on traffic-plan export. Open the PDF before you send it. Check that labels are not clipped and that emergency routes are still visible. Share link vs PDF | You need | Do this | |----------|---------| | Someone to view the live map | Copy link from Plans, or copy the plan URL | | A file for email, print, or an upload form | Export → Export PDF | | Official road signs on public roads | Export from a Traffic Plan | A share link is read-only. What good looks like - Every page has a drawn export area and a paper size. - The rectangle covers the content you care about, with a little margin. - You stayed on the tab until PDF downloaded and PDF exported successfully. - You opened the PDF and can read labels at the size you picked. - VIEW ONLINE in the footer still opens the plan. If something blocks you | Situation | What to try | |-----------|-------------| | Empty sidebar, Export PDF greyed out | Draw an export area first. The empty line is Draw an export area, then choose the paper size for the PDF page. | | Download never starts | Stay on the tab; allow downloads; retry | | PDF is blank or clipped | Enlarge the export area; hide dense optional layers; export again | | Browser warning or failed toast (Export failed) | Export fails or is blank | | You wanted signs / materials | You are in an event plan — use Export and print traffic plans | Prefer a current desktop Chrome, Edge, or Firefox.
