Organization billing

This page is Billing and credits for an organization such as Acme Events: identity, packages, hosted Stripe Checkout, the customer portal, and the banners that appear when a payment needs attention.

Use it when you are an Owner or Administrator and the organization actually shows a Billing button. Do not use it as proof that every team has a self-serve catalogue. Many organizations still receive credits the older way, from Traffic Chart, without this page.

Members never see Billing. Paying for a single traffic plan from the map is a different dialog: Pay or spend a credit. Sign limits and the Paid badge: Billing, free use, and credits.

Honest scope: only when you see Billing

Open Members & access for Acme Events (Organization settings, or Settings → Organizations → Members & access). The page title is Manage Acme Events.

Billing is the button in the header, next to the organization name. It is shown only when native organization billing is turned on for this organization, and your role can view billing (Owner or Administrator).

If the button is missing, stop. You are not in the wrong menu — this page is not enabled for Acme Events (or you are a Member). Credits may still exist in the workspace pool. Owners ask customer@traffic-chart.com rather than hunting for a hidden shop.

The browser title on the billing screen is Billing for Acme Events. The heading is Billing and credits. Back to organization returns to Manage Acme Events.

First load shows Loading billing information…. If it fails: Billing information could not be loaded. with Try again.

Who can do what

Spending one credit on Demo traffic plan does not require this page. Buying a package does.

Billing identity

Until a Stripe customer exists, Billing identity is the form you fill in Traffic Chart.

The section title is Billing identity. Description: Traffic Chart uses these details to route checkout to the correct legal entity. Your invoice address and VAT or tax ID are entered and managed securely in Stripe.

Fields:

• Full name — required. The person Stripe should address.
• Company name (optional) — Acme Events’ trading name if you want it on the profile. Legal name and VAT still go into Stripe Checkout later.
• Invoice email — required. Where invoices should arrive. This is not the same field as a member invitation.
• Contracting country — required. Starts with Choose a country.

Help under the country: Germany is billed by Traffic Chart GmbH. Other countries are billed by Traffic Chart B.V. Changing legal entity after checkout requires support.

Save writes the profile. Toast: Billing profile saved. Validation errors sit under the field. If nothing is field-specific: The billing profile could not be saved.

After save, Contracting entity shows the legal entity name that country selected, for example Traffic Chart B.V. or Traffic Chart GmbH. That is who you contract with. It is not a package name.

Germany GmbH vs BV

• Contracting country Germany → Traffic Chart GmbH.
• Any other country → Traffic Chart B.V.

Packages are sold per entity. If you save the Netherlands first, then later need Germany, you are changing legal entity. The UI warns you: Changing legal entity after checkout requires support. Do not treat Contracting country as a shipping preference you can flip after a subscription exists. Email support and wait.

Before a subscription: Choose a package

When there is a billing account but no current subscription, Choose a package is the main card.

Eyebrow: Subscription. Title: Choose a package. Description: Choose the annual allowance that fits your organization. Checkout and payment are handled securely by Stripe.

Each package card shows:

• The package name as configured for your entity (the text in the app, not a name from this article).
• A large number: either a credit count, or Unlimited.
• Under that: credits per year, or Unlimited sign placement when the package has no credit cap.
• A price, or Price shown at checkout when no unit amount is stored.
• per year · Price excludes VAT. Applicable tax is calculated during checkout.
• Continue to checkout (owners and admins).

This help page does not list amounts, and it does not promise that Acme Events will see four packages. What you see is what Stripe has configured for your contracting entity. If a card has no number, read Price shown at checkout and continue; Stripe will print the amount.

Blue note at the bottom of the package card:

Purchasing for a business?
In Stripe Checkout, enter the organization’s actual invoice address and select the business-purchase option to add its legal name and VAT or tax ID.

Do that on the hosted Stripe page, not in Full name.

Identity not complete yet

If Contracting country is still empty, the package grid is replaced by:

Save the billing identity and contracting country above to see the packages sold by the correct Traffic Chart entity.

Save identity first. The package list depends on GmbH vs B.V.

Empty catalogue

If the country is saved but no packages come back:

No packages are configured for this billing entity yet.

That is a real state, not a loading glitch. You cannot invent a credit tile. Email customer@traffic-chart.com. Meanwhile the team cannot self-serve a subscription from this screen.

Continue to checkout — hosted Stripe

Continue to checkout does not open the in-app card form from the traffic-plan dialog. It redirects the browser to Stripe Checkout (hosted).

Wait for the redirect. Complete payment there. Use the business-purchase option if you need legal name and VAT.

You cannot run two overlapping subscriptions from this page. If Acme Events already has a subscription in Pending, Active, Payment grace period, Cancels at period end, or Suspended, starting another checkout fails. Manage the existing one instead.

If Stripe is not configured for that package, the app can refuse with Checkout is unavailable because the Stripe billing configuration needs attention. Please contact Traffic Chart support. or the generic The billing action could not be completed. Stop. Contact support. Do not retry in a loop.

After a successful hosted Checkout, return to Billing and credits. You should now see the subscription summary instead of Choose a package. Credits for a credit package appear on Available credits. An unlimited package shows Unlimited sign placement.

After you subscribe

The summary is three columns on wide screens:

• Available credits — the workspace pool as a number. Members spend from this pool on plans they can edit.
• Subscription — either Unlimited sign placement, or a number plus credits per year.
• A status pill: Pending, Active, Payment grace period, Cancels at period end, Suspended, or Ended.

Under that: Current period ends 21 Aug 2026. (the date Stripe stored).

If a change is already scheduled, an amber line names the package code, for example A change to organization_unlimited is scheduled for the next period. You cannot shop a different tile on this page while a subscription exists. Use Manage subscription.

Manage subscription (the same action is also labelled Open billing portal in product copy) opens the Stripe customer portal: Traffic Chart asks Stripe for a portal URL, then the browser leaves for Stripe.

Use the portal for invoices, tax IDs, payment method, and cancel at period end. Do not use it to “browse upgrades” unless Traffic Chart has told you that path is enabled. Cancellation at period end is the supported plan change today.

If there is no subscription at all, the copy No active subscription. applies — you should be looking at Choose a package instead of this summary.

Invoice details after Stripe exists

Once a Stripe customer exists, Full name, Company name (optional), Invoice email, and Contracting country become read-only in Traffic Chart.

Instead you see:

• Invoice address — line, postcode, city, country as Stripe has them. If none: Not available.
• VAT / tax IDs — type and value, or Not available.
• These details are synchronized from Stripe. Use the billing portal to change them; Traffic Chart keeps an audit history of updates.
• Button: Edit invoice details in Stripe (same portal).

Save is gone on this form once Stripe manages the customer. Change address and VAT in the portal, then come back; Traffic Chart refreshes from Stripe.

Banners (read the strongest one)

Several banners can appear above the summary. They are not decoration. They change whether the team can spend credits.

Billing support required

New credit spending is blocked because this account needs manual review. Please contact Traffic Chart support.

Do not Spend credit on Demo traffic plan. Do not start another checkout. Email customer@traffic-chart.com. Existing plans remain; new paid work is stuck until support clears the flag.

Payment needs attention (grace)

This account is in its payment grace period through 4 Sep 2026. Existing data remains available. (the date is your grace end).

Status pill: Payment grace period. Data stays. Spending during grace depends on how the account is configured; if Spend credit fails, wait or fix payment in Manage subscription rather than buying a second package.

Direct Debit is processing

Your subscription and credits are available now. Stripe is processing the payment; no action is needed. We expect confirmation by 28 Aug 2026.

This is success with a slow bank. Do not cancel. Do not pay again. Credits are already usable.

Payment needs attention (action required)

Open the secure Stripe billing portal to complete or repair the payment. — unless Stripe supplied a more specific reason, which replaces that sentence.

Manage subscription is on the banner when you can manage a Stripe-sourced subscription. Complete 3-D Secure, update the card, or finish the mandate there.

Subscription payment was not completed

Existing data remains available, but new paid work is paused. Resolve the payment in Stripe to restore access automatically.

Status: Suspended. Manage subscription is the primary action. When Stripe succeeds, access returns; you should not need a second Continue to checkout.

If a banner prints a Stripe-supplied reason instead of the default sentence, follow that reason. It is still the same portal.

Members do not see this page

A Member drawing Demo traffic plan never opens Billing and credits.

What they see instead, on the map:

• Pool has credits, they are the assigned editor: Spend 1 credit to create new plan? and Spend credit.
• Pool empty / no permission to buy: Only an organization owner, administrator, or billing account holder can purchase credits. Ask them to add credits to this workspace.
• Billing missing: Billing is not configured for this organization. Ask an organization administrator or Traffic Chart support to configure it.

Teach members to ask you, not to enter a personal card on Personal and hope it funds Acme Events. It will not.

How this relates to the Paid badge

Native organization billing does not always stamp Paid on each unlocked plan. The plan is still funded from the organization account. If a colleague is looking for the badge, ask them to place a sixth sign on Demo traffic plan instead.

Personal workspace checkout does use Paid. That is a different Stripe form, documented in Pay or spend a credit.

Worked example (Acme Events, Netherlands)

Sam is an Owner. Acme Events finally shows Billing.

1. Sam opens Manage Acme Events → Billing. Heading Billing and credits.
2. Billing identity: Full name Sam Jansen, Company name (optional) Acme Events, Invoice email finance@acme-events.test, Contracting country Netherlands. Save. Toast Billing profile saved.
3. Contracting entity reads Traffic Chart B.V. (not GmbH — that is Germany).
4. Choose a package lists the packages sold by B.V. Sam reads credits per year or Unlimited sign placement, per year, Price excludes VAT. Applicable tax is calculated during checkout. If a tile has no figure: Price shown at checkout.
5. Purchasing for a business? reminds Sam to add legal name and VAT on Stripe, not in Full name.
6. Continue to checkout redirects to hosted Stripe. Sam completes payment there.
7. Back on Billing and credits: Available credits shows the pool, Subscription Active, Current period ends 21 Aug 2026. Manage subscription opens the Stripe portal.
8. Alex, a Member, never sees this page. On Demo traffic plan Alex clicks Spend credit when the pool has a credit. The map does not always show Paid. The sixth sign stays. That is success.

If step 4 had said No packages are configured for this billing entity yet., Sam would have emailed support instead of inventing a price.

If Contracting country had been Germany, Contracting entity would be Traffic Chart GmbH and the package list would be that entity’s catalogue — not B.V.’s.

What good looks like

Billing is visible. Billing identity is saved. Contracting entity matches Germany → GmbH or otherwise → B.V. Choose a package listed real packages, or a subscription summary is showing Active with Available credits (or Unlimited sign placement). Manage subscription opens the Stripe portal. Members can Spend credit on plans they edit.

If you cancelled at period end, the pill reads Cancels at period end and Current period ends still in the future. Work continues until that date.

What this page will not do

• It will not appear for every organization. No button means no self-serve catalogue.
• It will not show packages before Contracting country is saved.
• It will not show packages if none are configured for GmbH or B.V. yet.
• It will not let you stack a second subscription next to an existing one.
• It will not grant Bulk signs, XL, Materials Excel, Displace sign stack, or PDF preview by itself — those are account permissions. Feature not available for my account.
• It will not move Demo traffic plan from Personal into Acme Events. Use Move to organization.
• In-app Approved after municipal review is still not a legal permit.
